Reporting Responsibilities;

  1. Reports to: The Deputy Registrar [Legal]
  2. Liaises with: Court Support Staff, Director Counselling, Registrar of Family Court, Judicial Officers, Officer in charge Taveuni Magistrates Court, Officer In charge Magistrates Court,Savusavu.
  3. Subordinates: Court Officer, Secretary, Assistant Court Officers, Typist, GWEs (Messenger)

 

The Position

This position is responsible to the Deputy Registrar [Legal], Judge, Resident Magistrate and Registrar, Family Court to implement and supervise all the procedural and administrative functions for the Family Division of the Magistrates’ and High Court, ensuring its compliance with the legislative requirements of the Acts, Rules and Regulations relating to the functions of the Family Court System.

 

Key Responsibilities

  • Being responsible for all support staff and services allocated to the above registry;
  • Arranging adequate stationery and other office machines, equipment, furniture, consumables for the Family Division of the Magistrates’ and High Court from appropriate authorities;
  • Ensure adequate Court jackets/files and Colour coding stickers for Family Court (Fiji-wide);
  • Ensuring the proper functioning of the registries and the Court;
  • Ensuring sufficient and proper security of the Court premises, furniture, equipment, court records and all other Court resources;
  • Maintaining a database and register for movement of case files;
  • Timely preparation of court records and statistics on all cases;
  • Administering and finalize court cause lists and sittings;
  • Supervising Sheriffs’ Officers on service of notices, summons, orders, etc. and the execution of Court Warrant;
  • Liaising with stakeholders on matters of the Courts;
  • Checking and compiling of court records for transfer and appeal to High Court and Court of Appeal;
  • Proper management of the Court resources;
  • Assisting management in training of staff on the job, workshops and other administrative matters for the overall development of the workforce;
  • Compilation and submission of monthly absence returns;
  • Preparation and timely submission of monthly and quarterly reports;
  • Assisting the management in making and reviewing policies;
  • Providing advice, opinions and recommendations on staffing matters, training matters, processes and systems improvement, relevant plans and budgeting;
  • Implementing of key tools and mechanisms initiated by the Management and continuously monitor and improve on the progress of the same;
  • Continuously monitor the performance of the staff and provide timely submissions on the best employee of the registry;
  • Conducting assessments and providing timely submission of reports and recommendations on the performance of officers appointed on temporary-relieving and contract basis, and acting appointments under the jurisdiction.

 

SELECTION CRITERIA

The Person

 A relevant Diploma/ Degree from a recognised institution with at least 5 years work experience in interpretation duties and at senior level with supervisory role OR 15 years work experience in interpretation duties. A pass in Departmental Exams X1, X2, X3 and Service Examination H1, H2 or H are an added advantage to the post.  The following Knowledge, Experience, Skills and Abilities are also required to successfully undertake this role:

 

Knowledge and Experience

  1. Sound knowledge and understanding of the legislative requirements of the Fijian Constitution, Acts, Policies, Court rules and procedures in relation to the functions of the Court System;
  2. Knowledge of legal terms, principles and court etiquette;
  3. At least 5 years work experience in interpretation duties and at senior level with supervisory role OR 15 years work experience in interpretation duties;
  4. Knowledge and experience in compiling reports and making appropriate submission in regards to the operation of the Court Registry;
  5. Experience of supporting the Senior Management team including meetings, discussion on Plans, Policies and administrative issues.

 

Skills and Abilities

The applicant should have demonstrated the following skills and abilities:

  1. Strong written and oral communication skills together with good public relations and customer service skills;
  2. Planning, time management and organization skills;
  3. Ability to interpret legislations, policies and procedures;
  4. Demonstrated ability to write report and submission and maintain confidentiality of information;
  5. Demonstrated ability to manage, supervise, motivate staff and work as an effective and productive team leader;
  6. Capacity to utilize computer programs to support the operation of the Registry;
  7. Ability to conduct First Aid and Fire Wardens activities when need arises.

 

Personal Character and Eligibility

Applicants for employment in the Judicial Department must be Fijian Citizens, under Age 55, in sound health, with a clear police record. The selected applicant will be required to provide a medical report and police clearance prior to taking up duty.
